OVERVIEW: The position will assume the duty of Technical and Logistical support in order to optimize workflow procedures in the regional office. Though the interim set-up indicates direct reporting to the Office of the General Services Head, the position will perform and/or will be required to coordinate and perform various tasks of the General Services Teams at the regional level or on a smaller scale. Managing and evaluating vendor performance are common to all functions as well as generating the project information and relevant data for reporting and analysis at the Head office. Specific functions: All works to be undertaken shall be coordinated with the functional heads for directions, scope, deliverables and timelines. •
General Services Central o Provides technical and administrative support to ensure efficient operation of the office of the General Services Director o Performs research and develop reports that may be required by GS director o Work on power point decks, excel worksheets, and other Microsoft 365 office tools for reports and presentations

Office and Facilities Management o Oversee facilities operation and maintenance of the assigned regional office and stores within the area of operation o Project coordination, inspection, and progress reporting o Maintains supplies inventory; checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies.

Utilities Management o Supervision or facilitation of utility bills and receipts collection delivery by the vendor; and handling bank transactions and payments, if necessary. o Validation of vendor accomplishments and billings

Logistics o Materials management: Goods receiving, storage, inventory and issuance o Fleet operation and maintenance; responding and rendering emergency assistance, if necessary. o GS Service vehicle operation and maintenance

Purchasing o Local Vendor and Materials sourcing

IT Support o Vendor service performance monitoring o IT Devices inventory, issuance, retrieval and safekeeping

Environment, Health and Safety o Document management assistance o Emergency response and incident reporting
•
Administrative Responsibilities o Performs data analysis on regional capex and opex; trips and vehicle use; and other General Services data. o Record meeting minutes and prepare the necessary communication needed to route the document for comment/approval and finalization. o Carries out administrative duties such as filing, encoding, copying, binding, scanning etc. o Supports team by performing tasks related to organization deliverables.
